Booking and Participation Terms

1. Scope

These terms apply to educational journeys, tours, events, activities and related services booked with ETB Global, operated by Aman Travels Delhi Private Limited. They apply together with the booking page, itinerary, proposal, confirmation, consent forms, supplier conditions, Cancellation, Refund & Payment Policy, Privacy Policy and any programme-specific terms.

If programme-specific written terms conflict with these general terms, the programme-specific terms apply to that programme.

2. Who may book

A booking may be made by an adult participant, parent or lawful guardian, or an authorised school, institution, employer or group organiser. The person making the booking confirms that they:

  • have authority to provide participant details and accept applicable terms;
  • will share relevant information and documents with each participant and parent or guardian;
  • will obtain required permissions and consents; and
  • will ensure all information supplied is accurate and complete.

3. How a booking is confirmed

An enquiry, application, temporary reservation or payment attempt is not a confirmed booking. A booking is confirmed only when we issue a written confirmation after receiving the required payment, information and approvals.

Availability is subject to capacity and supplier confirmation. We may decline an application before confirmation for legitimate safety, eligibility, operational or legal reasons and will refund amounts received for services we do not confirm.

4. Price, inclusions and payments

The applicable event page, proposal or confirmation will state the price, instalment schedule and principal inclusions and exclusions. Unless expressly included, personal expenses, optional activities, passports, visas, medical costs, excess baggage and travel to a stated departure point are excluded.

You must pay each amount by its due date. A late or missed payment may result in release of a place after reasonable notice. Currency changes, taxes, government levies or supplier costs may affect a price before confirmation. After confirmation, changes will be handled fairly and in accordance with applicable law and the written booking terms.

5. Participant information and documents

You must provide accurate participant names matching travel documents and disclose information reasonably relevant to safe participation, including:

  • passport, visa, permit and identification details;
  • age, eligibility and required consent;
  • emergency contacts;
  • allergies, medication, medical conditions, dietary needs and accessibility requirements; and
  • any circumstance that may materially affect participation or the safety of others.

Participants are responsible for obtaining valid passports, visas, permissions, vaccinations and other documents unless the written booking expressly says we will arrange them. We are not responsible for a refusal, delay or loss caused by inaccurate information or missing documents, except to the extent caused by our failure to carry out an agreed service with reasonable care.

6. Health, accessibility and reasonable support

Please tell us about health, dietary, mobility, sensory or other support needs before booking or as soon as they arise. We will consider reasonable adjustments and discuss what can safely be provided, but some programmes or third-party facilities may have genuine limitations.

We may request a medical assessment or additional support arrangement where reasonably necessary for safety. We will not exclude a participant unlawfully, and any participation decision will consider available adjustments, the programme conditions and the welfare of the individual and group.

7. Conduct and safeguarding

Participants must follow reasonable instructions from programme leaders, safety rules, local law, accommodation rules and the code of conduct communicated for the programme. Bullying, harassment, violence, possession of prohibited items, substance misuse, deliberate property damage or conduct creating a material safety risk is not permitted.

For a serious or repeated breach, we may restrict an activity or end participation after considering the circumstances and, for a child, consulting the parent, guardian or institution where practicable. The booking party may be responsible for reasonable additional costs directly caused by the participant’s misconduct, subject to applicable law.

8. Supervision of children

The booking materials will identify the supervision model. Schools, institutions and group organisers remain responsible for duties expressly allocated to their staff or nominated adults. ETB Global staff and suppliers are responsible only for roles they have agreed to undertake.

Parents and guardians must provide accurate emergency contacts, medical authorisations and consent forms. We may take reasonable emergency action in the child’s best interests when timely consent cannot be obtained, including seeking medical assistance.

9. Itinerary and supplier changes

Travel involves factors such as weather, traffic, public-health measures, transport schedules, venue availability and government action. We may make reasonable changes to timings, routes, accommodation, transport or activities to protect safety or deliver the programme.

We will notify the booking contact of a material change as soon as reasonably practicable. Where we make a significant change before departure, we will provide the options required by applicable law and the programme-specific terms.

10. Travel suppliers

Transport operators, hotels, venues, guides, insurers and activity providers may be independent suppliers. Their lawful conditions may apply to their services. We select and coordinate suppliers with reasonable care, but we are not responsible for an independent supplier’s act or omission where liability cannot lawfully be attributed to us.

11. Insurance

Participants should have suitable travel, medical, accident, cancellation and personal-belongings insurance for the full programme unless the written booking confirms specific coverage is included. Any included policy is subject to its insurer’s terms, exclusions and claims process.

12. Risk and emergencies

Travel and activities carry inherent risks that cannot be completely removed. We assess and manage reasonably foreseeable risks, but participants must follow safety briefings and use required equipment.

In an emergency, we may change the itinerary, contact emergency services, arrange medical care or take other reasonable protective action. The participant or booking party is responsible for costs not covered by an included service or insurance, except where the cost results from our breach of law or contract.

13. Photography and communications

We may take operational photographs or recordings for identification, safety or programme records where appropriate. Promotional use will follow the consent choices provided and our Privacy Policy. Consent for optional promotional use may be withdrawn for future use.

14. Participant cancellation and transfer

Cancellation must be submitted in writing by the booking contact. Charges depend on the timing, programme-specific terms and unrecoverable supplier commitments. Name changes or transfers are permitted only where suppliers, visa rules, safety checks and programme terms allow. See our Cancellation, Refund & Payment Policy.

15. Cancellation by ETB Global

We may cancel or reschedule a programme if minimum participation is not met, safety is materially affected, suppliers become unavailable, payment obligations are not met, or an event outside reasonable control makes delivery impracticable.

If we cancel for reasons within our control, we will offer an appropriate alternative, credit or refund for the affected service. If an event outside reasonable control occurs, rights and recoveries will depend on applicable law, supplier recoveries and programme-specific terms.

16. Responsibility and liability

We will provide contracted services with reasonable care and skill. Nothing in these terms excludes liability for fraud, wilful misconduct, personal injury caused by negligence, breach of non-excludable consumer rights or other liability that cannot lawfully be excluded.

To the extent permitted by law, we are not responsible for loss caused by a participant’s act, inaccurate or withheld information, an unrelated third party, or an event outside our reasonable control. Any limitation will be applied fairly and consistently with applicable consumer law.

17. Complaints during a programme

Raise a concern promptly with the programme leader or emergency contact so it can be addressed while the programme is underway. If it is not resolved, submit it under our Grievance Redressal Policy.
